Tent Permit and Procedures

Please read the prodecures below before continuing to the tent permit form.

Tents and similar structures present a very high potential for accidents and injuries in the case of fire or collapse. In an effort to assure the safety of occupants, a permitting procedure has been established that applies to all tents and temporary structures erected on Virginia Tech property that are larger than 900 square feet in area.

This procedure requires that the following application form be completed and submitted to Physical Plant's Code Compliance Office at least 30 days prior to erection of the tent.

Once the completed application is submitted, Physical Plant's Code Compliance staff will review the information. The applicant may be contacted during this review to provide clarification or additional information.

The information is then forwarded to the Virginia Department of General Services, Division of Engineering and Buildings (DEB). Once they have reviewed and approved the request, DEB then issues a Permit/Temporary Certificate of Use for a Temporary Facility/Tent/Stage. A copy of the permit will be provided to the applicant by Physical Plant. The permit must be posted in open view near the tent for the duration of use.

Miss Utility must be contacted five (5) days prior to the erection of the tent. This service can be reached by calling 1-800-552-7001. The tent shall not be erected until the underground utilities are marked.

Environmental, Health and Safety Services (EHSS) must be contacted at least two (2) days prior to the erection date to schedule an inspection of the erected tent. Any hazard that is identified during the inspection must be immediately abated or the tent or temporary structure must be removed and the permit shall be revoked.

Tent must be registered before a permit will be issued. All tents that are 900 square feet or more in size must be registered with the Building Code Engineer. Registration of the tent is the responsibility of the Tent Owner. For information on how to register a tent refer to the Facilities website.

EHSS Fire Safety Contact: VT Environmental, Health and Safety Services must be contacted at 231-9198 not less than two days in advance of tent erection to schedule a site inspection. EHSS and/or the Virginia State Fire Marshal's Office will verify that the tent is erected and used in accordance with the information submitted on this form and in accordance with the Virginia State Fire Prevention Code.

List all cooking and heating equipment that will be used: Any cooking or heating activity that involves open flames must not be conducted within 20 feet of the side of the tent.

Number of people in tent: Estimate based on the number of chairs under the tent plus the number of persons standing.

The following restrictions must be considered when choosing the location of the tent (if tent is 1,500 sq ft or more):

20-foot minimum clearance must be maintained between the tent and all adjacent buildings, trees and shrubs, and/or other tents or structures.
The tent and the tent stakes must not damage or interfere with the function of the underground utilities.
Accessibility for handicapped persons must be provided, including an accessible path from a handicap parking space to the tent entrance and access to all activities conducted inside the tent.
